Microsoft Teams meeting recording

Stulz S.p.A. hereby informs you that meetings held via Microsoft Teams platform, in which internal or external personnel may participate, may be recorded and stored for a maximum of 30 days within the Microsoft Teams platform. Transcripts of these meetings may be automatically generated solely for the purpose of documenting the content of Teams meetings to facilitate and speed up business activities. Before the recording begins, you will be notified that the meeting will be recorded, and by participating in the meeting and activating your microphone, you consent to the recording.

Therefore, the undersigned company hereby informs you, pursuant to Article 13 of EU Regulation 2016/679 on the protection of personal data, about how personal data of participants in Teams meetings collected and recorded during the meetings themselves will be processed.

Data controller

Type of personal data processed

Personal data will be processed, such as names, contact email addresses, IP addresses, login and logout times from Teams meetings, and video images of participants.

Purpose, legal basis for processing

Personal data will be collected and recorded and, generally, processed solely for the purpose of documenting the content of Teams meetings to facilitate and speed up business activities.
The legal basis for processing is your consent (Article 6(1)(a) GDPR) and the Data Controller's legitimate interest in documenting the activities carried out (Article 6(1)(f) GDPR).

Treatment methods and recipient categories

Personal data will be processed on IT and electronic media and, if necessary, on paper, in compliance with the principles established by EU Regulation 2016/679 and for the purposes for which they are collected.
The data may be accessed by internal staff of the Companies authorised to process such data, and by external parties acting as Data Processors or independent Data Controllers.

Extra-EU data transfer

Your data will not be transferred to third countries outside the European Union.

Treatment duration

The video recordings made will be kept for 30 days, after which they will be deleted. All information collected and recorded in the transcripts will be archived by the company and will become part of the company's documentation and will be retained for the periods required by regulatory and/or contractual obligations.

Data subject rights

We remind you of your right to request access to your personal data from the data controller, as well as the rectification or erasure of such data, or the restriction of processing concerning you and to object to such processing, in addition to the right to data portability by contacting the addresses indicated above.
You also have the right to lodge a complaint with the competent supervisory authority, the Personal Data Protection Authority, or to bring legal proceedings (Articles 77 and 79 GDPR).
